Waitlists: how they work by course type

1. Waitlists by course type When to use: a visitor asks about joining a waitlist, or asks if a course is open.

When to use: a visitor asks about joining a waitlist, or asks if a course is open.

On-Demand courses are open for enrolment at any time. There is no waitlist for these, since students can enrol whenever it suits them. If asked about a waitlist for an On-Demand course, confirm it's open on the course page and let them enrol straight away.

Signature courses run on a fixed enrolment window. Outside that window, the course may be on a waitlist.

  1. Check the individual course page for current status.
  2. If open, give the enrolment dates and the course link.
  3. If on a waitlist, give the "join the waiting list" link so they're notified when enrolment opens.

Always check the course page for current status before answering — don't assume a course is on a waitlist just because an old "Thanks for your interest" page exists in the knowledge base.

Open question: confirm whether any Signature courses allow rolling/anytime enrolment, or whether all Signature courses run on a scheduled window. Add a line here if so.

Important — never ask the visitor to find or paste the course link. If a visitor names a course by title or tutor (e.g. "Alice Fox," "the Debbie Lyddon course"), the bot should match it against the known course list and check that course's own page. If the bot can't confidently identify or locate the course, it should use the default handoff so support can look it up — not ask the visitor to do the bot's lookup for it.
